Payments and Billing Policy
Last updated: October 22, 2026
Supported cards, Apple Pay, Google Pay and Link may be available when eligible. Only the methods displayed in your checkout or approved invoice apply.
NIL policies remain drafts with no effective date. These disclosures do not activate NIL payments or establish eligibility. No acceptance of drafts is requested or collected.
ScoutSync and Stripe
ScoutSync uses Stripe for the payment flows described on this website. For purchases through ScoutSync's U.S. Stripe checkout, the merchant business is Willis Sports Organization Inc. doing business as ScoutSync. Any different contracting entity must be identified in the order before payment. Stripe supplies payment infrastructure; it does not deliver the ScoutSync or athlete service, approve athletic eligibility, or guarantee a booking. ScoutSync's applicable product terms and the accepted order govern the purchase.
Cards wallets and other payment methods
Pay with the methods displayed in the actual Stripe checkout. These can include supported credit and debit cards, Apple Pay, Google Pay and Link when eligible. Other local methods, bank payments or installment options are offered only when enabled and supported for that checkout, currency, customer country, device and transaction. A method listed by Stripe is not necessarily available for every ScoutSync product or booking. A wallet logo is not a guarantee of availability. PayPal, TWINT and offline bank transfers are not promised as separate ScoutSync integrations; use them only if expressly offered in the actual approved checkout or written invoice. Do not send money to an athlete or an unverified payment instruction to bypass the booking flow.
Price currency taxes and exchange costs
Before payment, checkout or the approved invoice identifies the service, amount, currency, any ScoutSync fee, applicable tax, total and whether the charge recurs. A dollar amount is not a promise of the same numeric price in another currency. A custom country or currency price must be stated in the approved agreement or invoice. Your bank, card issuer or payment provider may apply its own currency conversion or cross-border charge; ScoutSync does not control those charges. A refund converted by your provider can produce a different local-currency amount. Tax is charged where required and supported; the use of Stripe does not itself establish tax registration, tax exemption or an athlete's personal tax treatment.
One time purchases and NIL PAYG
A one-time purchase does not enroll you in a recurring plan unless a separate subscription is clearly selected and agreed. Approved NIL PAYG bookings have no recurring brand subscription requirement. The brand pays the athlete's agreed service amount plus a 15% ScoutSync fee, or 10% for an eligible active brand subscriber. A USD 1,000 service therefore totals USD 1,150 or USD 1,100 before applicable tax. The athlete is allocated the full agreed gross service amount; legally required withholding is recorded separately. Stripe processing costs are accounted for by ScoutSync and are not silently deducted from that agreed athlete amount. The existing request's price and fee snapshot do not change when a brand later changes plans. Legends' separate 85/15 provider split does not set NIL economics.
Subscriptions renewals and cancellation
A recurring checkout must show the plan, billing interval, amount, renewal terms and how to cancel before you subscribe. Recurring payments are authorized only for the terms disclosed at checkout. Brand plan prices currently offered in USD are 850 monthly, 2,400 quarterly and 8,000 annually, subject to the approved agreement and applicable tax. Athlete services and booking fees are additional. Use the product's available billing or cancellation controls, or contact support@scoutsync.com if you cannot access them. Cancellation takes effect according to the accepted agreement and mandatory law; do not assume cancellation refunds an already used period or cancels a separately confirmed booking. PAYG purchases do not renew as subscriptions. A payment or subscription alone does not grant organization ownership, database rights or verification.
When payment and delivery are confirmed
A payment attempt, browser redirect, bank screenshot or wallet authorization is not proof of completed payment or a confirmed service. ScoutSync confirms payment from Stripe's verified payment state. Digital access begins after successful payment and any applicable account or activation requirements. Scheduled and custom services require the accepted scope, materials and any other stated prerequisites. NIL work starts only after athlete acceptance and all required eligibility, work-authorization, payment and booking approvals. Delivery dates, time zones, scope, revision limits and review procedures belong in the order. No physical shipping timetable applies to a digital service; any physical item offered must carry its own delivery and return details.
Pending failed and delayed payments
Some payment methods confirm later than the checkout session. While payment is processing, a request is not funded and work or payout must not proceed as if funds were received. ScoutSync may ask you to choose another supported method after a failure. A temporary bank authorization can remain visible after a failed or cancelled attempt; release timing is controlled by the provider. An invoice or bank instruction is valid only when issued through an approved ScoutSync process. Do not submit duplicate payments while a payment is being reconciled; contact support with the reference if the result is unclear.
Cancellations and refunds by product
The product policy and accepted order set the cancellation rules, subject to mandatory rights. The Booking And Services Policy governs ScoutSync and Legends sessions, custom services and memberships; the NIL Payments policy governs approved NIL bookings. Do not apply a Legends session cancellation window to an NIL request. Under the proposed NIL terms, athlete decline, expiry before acceptance or missing required clearance before work starts results in a full booking refund including the service fee and refundable tax. That NIL policy remains a draft until its stated launch conditions are met. Subscription refunds follow the accepted subscription agreement. Approved refunds normally return through the original payment method. Refund initiation, a pending processor refund and a completed refund are distinct. A legally required refund is not conditional on recovering an athlete transfer, and software limitations do not remove a lawful remedy.
Athlete and provider payout onboarding
Athletes and providers receiving payments must complete the required Stripe onboarding and keep accurate identity, business, tax and payout information. Use only an approved account for the entitled recipient; a borrowed or proxy account cannot be used to evade restrictions. The Stripe terms applicable to the actual account configuration and country are presented during onboarding. Where a full connected-account agreement applies, it includes the Stripe Services Agreement; a recipient arrangement can have different terms. Required acceptance must be completed in the actual onboarding flow, not inferred from visiting this page. Stripe verification does not establish school eligibility, representation authority, immigration work permission or tax clearance. Current under-18 NIL restrictions remain.
Release timing holds and disputes
Payment, a transfer to an approved recipient and a bank payout are different stages. Release follows the accepted service conditions and required review; completion alone does not require immediate transfer. Stripe or ScoutSync may apply a lawful verification, fraud, dispute or compliance hold. Timing varies by account, country, payment method and financial institution. This is not a promise of licensed escrow, a trust account, insurance or indefinite safekeeping. Report a billing or delivery problem to ScoutSync with the transaction reference. Contacting support does not waive chargeback, consumer or statutory rights. Duplicate recovery through a refund and chargeback is not permitted.
Payment privacy security and saved methods
Stripe processes payment credentials and may process identity, device, fraud-prevention and transaction information under its own privacy notice. ScoutSync receives the records needed for orders, receipts, refunds, payouts, fraud prevention, accounting and disputes, such as payment references and limited billing details. ScoutSync does not store your full card number or card security code in its booking records. Provide sensitive information only through approved secure forms. Do not email card, bank, identity or tax documents to a public address. Saving a payment method, using Link and recurring billing have separate disclosures where applicable. Optional marketing consent must remain separate from a required payment agreement. See the ScoutSync Privacy and Cookie Policies and Stripe's Privacy Policy.
Restricted transactions and misuse
Payment methods cannot be used for unlawful transactions, deceptive campaigns, unapproved money transmission, sanctions evasion or activity prohibited by Stripe. ScoutSync's student-athlete campaign restrictions can be stricter than Stripe's general rules. A successful card payment cannot override school, governing-body, minority, advertising, tax or immigration requirements. Where Stripe requires additional business approval, the relevant activity remains unavailable until the actual approval is obtained. Do not treat account activation or a policy link as approval of a restricted activity.
Receipts statements and support
Keep your receipt or invoice and booking reference. The current ScoutSync card statement descriptor is SCOUTSYNC; an issuer can display additional information or a transaction-specific suffix. Payment support: support@scoutsync.com or +1 317 767 9092. The U.S. business support address recorded with Stripe is 1533 Lewis Street, Indianapolis, Indiana 46202, United States. Use approved secure channels for sensitive evidence. Product availability, approvals and the accepted agreement remain separate from these support details.
Stripe policies and terms that apply
Stripe's own terms apply according to your relationship with Stripe and the services you use. References on this page do not replace ScoutSync's terms or make every purchaser a party to Stripe's business Services Agreement. Buyers using Link should review the applicable Link Consumer Terms; athletes and providers complete the appropriate Stripe onboarding agreement. See the Payments And Billing Policy. Goods and one-time Service Offerings are charged as one-time payments unless checkout clearly identifies a recurring membership or subscription.
Service Offerings are charged upfront through Stripe using the methods offered in the actual approved checkout or written invoice. A booking is not confirmed, and preparation does not begin, until payment succeeds, any required information and materials are received, and ScoutSync accepts the booking. Payment cards and accounts are subject to validation, fraud screening, and authorization by the issuer or payment provider. By submitting payment information, You represent that You are authorized to use it and authorize the relevant provider to process the displayed amount, applicable taxes, refunds, reversals, and recurring renewals disclosed at checkout.

Customers introduced through ScoutSync may not make side payments or arrange an off-platform transaction for the same service.

Refunds: Except when required by law, paid Subscription fees are non-refundable. Certain requests may be considered on a case-by-case basis.

Booking And Services Policy
Effective date: October 9, 2026
This Booking And Services Policy applies to ScoutSync and Legends services sold or arranged through ScoutSync, including services delivered by the ScoutSync team, ScoutSync Legends, and other approved specialists. It covers one-time sessions, consultations, evaluations, written or digital deliverables, group services, workshops, custom engagements, packages, and recurring memberships.
Approved NIL bookings have distinct cancellation and release rules under the NIL Payments Policy, which remains a draft with no effective date. These booking rules do not activate NIL or override that draft. See also the Payments And Billing Policy.
Who delivers the service. The offer identifies whether the Provider is the ScoutSync team, a ScoutSync Legend, or another approved specialist. Legends and outside specialists are independent service providers responsible for the professional services they personally deliver. ScoutSync operates the platform, approves offers, collects customer payments, and administers bookings, communications, refunds, and support.
Eligibility and accurate information. You must provide accurate, complete information and have authority to make the purchase. Services involving an athlete under 18 must be booked by, or with verified consent from, a parent or legal guardian. Communications involving minors must use ScoutSync-approved channels. A Provider must not privately contact a minor through personal email, text, social media, or another unapproved channel.
Scope and preparation. The offer and checkout identify the service scope, Provider, duration where applicable, price, deliverables, prerequisites, and required materials. You are responsible for timely cooperation and for supplying readable, accurate materials before preparation begins. Delays in providing required materials may require rescheduling and do not entitle You to a refund.
Payment and confirmation. Services are charged upfront through Stripe using the methods offered in the actual approved checkout or written invoice. A request is not a confirmed booking. A booking becomes confirmed only after successful payment, ScoutSync acceptance, and satisfaction of any prerequisites. Custom services do not begin until ScoutSync approves the written scope and final price. You authorize payment processing, fraud screening, receipts, applicable taxes, recurring charges clearly disclosed at checkout, and any refund or reversal due under these Terms.
No off-platform transactions. You may not ask or encourage a Provider to redirect, collect, or complete payment outside ScoutSync for a service or relationship introduced through ScoutSync, unless ScoutSync approves it in writing.
Service limitations and no guaranteed outcomes. Services provide education, evaluation, development, mentorship, or consulting within the stated scope. ScoutSync and its Providers do not guarantee scholarships, admissions, roster spots, playing time, recruiting interest, representation, contracts, employment, selection, rankings, earnings, or performance results. Recruiting and eligibility rules change and must be verified with the appropriate official body.
Unless an offer expressly identifies a properly credentialed professional and approved regulated scope, services do not provide medical diagnosis or treatment, rehabilitation, psychotherapy, crisis care, legal advice, tax preparation, investment or securities advice, fiduciary advice, regulated nutrition care, agency representation, contract negotiation, or deal procurement. Seek an appropriately licensed professional for those needs.
Your materials and conduct. You represent that You have all rights, permissions, and consents needed to upload or share film, images, reports, music, or other materials, including material involving a minor or third party. You may not record a private session without all required consent; copy, sell, publish, or redistribute Provider materials without permission; harass or threaten a Provider; engage in unsafe conduct; misrepresent identity or credentials; infringe intellectual property or privacy; or use a service for an unlawful purpose.
ScoutSync remedies. ScoutSync may refuse, suspend, reschedule, or cancel a service for safety concerns, fraud, unauthorized payment, abuse, failure to meet prerequisites, material policy violations, Provider unavailability, or events beyond reasonable control. The cancellation remedies below apply when ScoutSync or a Provider cannot deliver.
Customer cancellation and rescheduling. For a scheduled session, a cancellation or reschedule request received at least 48 hours before the scheduled start allows one no-charge reschedule, subject to availability, or ScoutSync service credit. It does not promise a cash refund unless applicable law requires one. For a request received within 48 hours, ScoutSync retains 50% of the session fee and refunds 50% to the original payment method. A no-show may be charged the full session fee.
Provider or ScoutSync cancellation. If ScoutSync or the Provider cancels and cannot deliver the purchased service, You may choose a no-charge reschedule, ScoutSync service credit, or a refund to the original payment method. This does not apply when delivery is prevented by Your failure to cooperate, provide materials, attend, or comply with these Terms.
Written, digital, custom, and group work. Once preparation has started for a personalized evaluation, written report, digital deliverable, or other custom work, fees attributable to completed preparation may be non-refundable. After delivery, the fee is non-refundable except where the deliverable materially fails to match the approved scope or applicable law requires a remedy. A written custom or group scope may set participant minimums, deposits, deadlines, and cancellation terms; that approved scope controls if it clearly differs from these general rules.
Membership cancellation. Cancelling a monthly service membership stops the next renewal. Access continues through the paid period, and the current period is not prorated or refunded unless required by applicable law. Benefits expire at the end of that period, and unused monthly benefits do not roll over unless the offer states otherwise.
Refund processing and disputes. Approved refunds are sent to the original payment method through the applicable processor, including for historical transactions. Posting time is controlled by the payment provider and financial institution. Contact ScoutSync promptly so we can investigate a billing or service issue before starting a payment dispute. Nothing in these Terms limits lawful cardholder or consumer rights, but fraudulent or abusive chargebacks violate these Terms.
Mandatory rights. Nothing in this Policy excludes rights or remedies that cannot lawfully be excluded in Your jurisdiction. Consumer withdrawal, cancellation, refund, warranty, and youth-protection laws apply where mandatory.
User Accounts
You must provide accurate, complete, and current information. You are responsible for safeguarding your password and for any activities under your account. You agree not to disclose your password to any third party and must notify Us immediately of any breach of security.

Your Right to Post Content: By posting Content, You grant Us the right and license to use, modify, publicly perform, publicly display, reproduce, and distribute such Content. You retain all rights to Your Content.
Content Restrictions: You are solely responsible for the Content and all activity under your account.
Content Guidelines: You may not transmit Content that is unlawful, offensive, threatening, libelous, defamatory, obscene, spam, contains viruses, infringes proprietary rights, impersonates others, or violates privacy.

AI Use & Safety Policy (Coach Leo + AI Features)
Last updated: February 10, 2026
Overview
Effective Date: February 10, 2026
Last Updated: February 10, 2026
Company: Willis Sports Organization, ScoutSync Inc., and ScoutSync LLC (collectively, the "Company," "we," "us," or "our")
Applies To: Coach Leo and all AI-powered features, tools, and content within our websites, apps, and services (collectively, the "Services").
1. Purpose of Our AI Features
Coach Leo and our AI features are designed to support athletes, families, and coaches with sports-related guidance, planning, learning, and insights, including training education, recruiting education, organization, and general sport information.
Our AI features are intended to be a 24/7 assistant for informational and productivity support. They are not a replacement for qualified professionals (including coaches, athletic trainers, physicians, therapists, nutritionists, teachers, recruiters, or compliance advisors).
2. Transparency: What AI Is (and Isn't)
Our AI features use machine learning models that generate responses based on patterns in data. AI-generated content can sound confident while being incorrect, incomplete, outdated, or not applicable to your situation.
You are responsible for independently verifying important information before relying on it, especially information relating to health, safety, eligibility, compliance, finances, contracts, scholarships, recruiting decisions, or travel.
3. Key Limitations and No Guarantees
To ensure clear expectations and prevent misunderstandings:
- No scholarships, jobs, or roster guarantees. Our AI features and Services do not promise or guarantee scholarships, offers, contracts, roster spots, playing time, admissions decisions, or recruiting outcomes.
- No verified measurements or scouting-grade metrics. Unless explicitly stated as coming from a verified measurement source that you provide, any AI statements about speed, height, weight, vertical, injury status, performance projections, or similar metrics are estimates and may be wrong.
- Not professional advice. AI output is for general informational purposes and is not medical, legal, compliance, financial, psychological, or other professional advice.
- Not an emergency service. Do not use AI features for emergencies. If you believe someone is in danger or needs urgent help, contact local emergency services immediately.
4. Athlete Safety and Health Disclaimer
Training, drills, and performance recommendations carry risk. You are responsible for using good judgment and considering your personal health circumstances.
Before starting any new training plan, recovery approach, or nutrition strategy, consult a qualified professional. Stop immediately if you experience pain, dizziness, shortness of breath, or other concerning symptoms.
5. Recruiting and Eligibility Disclaimer
Recruiting rules and eligibility requirements may vary by sport, division, league, association, country, and school, and they can change over time. AI responses may be incorrect or out of date.
If you are making decisions about eligibility, amateurism, transfer rules, recruiting contact periods, or compliance, you should verify requirements with official sources and/or qualified advisors.
6. User Responsibilities: How to Use AI Safely
By using our AI features, you agree that you will:
- Double-check AI outputs before acting on them
- Use AI as a starting point, not a final authority
- Provide accurate information when asking questions
- Use common sense and follow applicable laws, rules, and safety guidance
- Not use AI features to attempt to harm yourself or others
7. Prohibited or Unsafe Uses
You may not use our AI features to:
- Generate or share content that is illegal, abusive, harassing, sexually exploitative, or encourages violence or self-harm
- Create deceptive content (including fake coach messages, forged documents, fabricated offers, or made-up statistics/metrics)
- Attempt to bypass recruiting, admissions, or compliance requirements using misrepresentation
- Reverse engineer, probe, scrape, or attempt to compromise the AI systems, safety measures, or Services
We may restrict, suspend, or terminate access for suspected misuse, to the extent permitted by law and our Terms of Service.
8. Human Oversight and Quality Controls
We use a combination of operational, technical, and policy measures intended to reduce harm and improve reliability, such as:
- Safety-focused prompts and guardrails
- Monitoring for abuse patterns
- Ongoing evaluation and improvement processes
However, no AI system is perfect. We cannot guarantee that AI output will be error-free, complete, or suitable for any particular purpose.
9. Data You Provide and Privacy
When you use Coach Leo or our AI features, you may provide information such as your sport, age group, goals, schedule, training history, recruiting preferences, or other details.
How we handle personal data is described in our Privacy Policy and Terms of Service.
Important reminders:
- Do not share sensitive personal information in AI chats (for example: government IDs, passwords, financial account numbers, or detailed medical records) unless specifically requested by a secure, clearly labeled workflow
- AI conversations may be processed to provide the Services, maintain security, comply with law, and improve product quality, consistent with our Privacy Policy and applicable law
- If our Services are used by minors, we take youth privacy seriously and implement age-appropriate experiences and controls where required
10. Third-Party AI Providers and Integrations
Some AI functionality may be powered by third-party models or infrastructure providers. When we use third parties, we aim to:
- Limit access to what is needed to operate the feature
- Apply security and confidentiality measures consistent with our policies
- Maintain contractual and technical protections as appropriate
11. Intellectual Property and Use of Outputs
AI-generated outputs may be similar to content available elsewhere. You are responsible for ensuring that your use of AI outputs (including publishing content, using images, or distributing materials) complies with applicable laws and third-party rights.
12. Marketing and Claims (No Misleading Statements)
We strive to describe our AI features accurately and avoid overstating what AI can do. Our AI features are designed to support learning and decision-making, not to guarantee outcomes.
13. Disclaimer of Warranties
TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR AI FEATURES AND ANY AI-GENERATED OUTPUTS ARE PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
14. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE COMPANY WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR RELATED TO YOUR USE OF AI FEATURES OR RELIANCE ON AI OUTPUTS.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE COMPANY'S TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATING TO AI FEATURES WILL NOT EXCEED THE AMOUNT PAID BY YOU (IF ANY) FOR THE AI FEATURES IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR USD $100, WHICHEVER IS GREATER, UNLESS APPLICABLE LAW REQUIRES OTHERWISE.

Please include screenshots and relevant context when possible.

NIL Marketplace and PAYG Terms
Last updated: Draft 2026-10-21. Effective date pending.
Draft status
DRAFT — LEGAL REVIEW REQUIRED. Version 2026-10-21. Effective date pending. This document is a draft for legal review and implementation validation. It is not a legally approved policy, is not yet in effect, and no acceptance of these draft terms is requested or collected.
Scope and availability
ScoutSync supports approved brand-to-athlete promotional services and name, image and likeness opportunities. These terms apply to PAYG bookings and bookings by subscribed brands. They do not change the separate ScoutSync Legends provider revenue split, team subscription agreement, school policy or athlete representation agreement. Availability depends on the athlete, location, governing rules and enabled booking features. A profile, a request, verification or payment alone does not confirm a booking or guarantee athletic eligibility.
Brand registration and access
A brand representative must be an adult with authority to act for the named business and provide accurate company, industry, website, country and work contact information. ScoutSync may verify the business, representative, campaign and payment authority and require additional review. PAYG means no recurring brand subscription is required for an approved PAYG transaction; it does not grant full ScoutSync Online organization access. Existing verification, Sales authorization and organization activation controls remain applicable. Pending applicants cannot import athletes, create rosters, export restricted data, claim an organization, invite staff or contact minors. Organization subscriptions and changes follow the approved commercial process.
Prices and fees
The brand pays the athlete's agreed service price plus a ScoutSync service fee of 15% for PAYG or 10% for an eligible active brand subscriber. For a USD 1,000 service, the totals before applicable tax are USD 1,150 and USD 1,100 respectively. The fee is added to the brand's bill and is not a deduction from the athlete's listed service price. Any legally required tax withholding can reduce the athlete's net remittance; it must be recorded separately. The applicable fee, service amount, currency, taxes and total are shown before payment and fixed on the booking. A later subscription change does not reprice an existing booking. Stripe processing costs are accounted for by ScoutSync and are not silently deducted from the athlete's agreed price.
Subscriptions are separate
Brand subscription prices currently offered in USD are USD 850 monthly, USD 2,400 quarterly and USD 8,000 annually, subject to the approved agreement and tax treatment. The subscription buys the scope in that agreement; athlete services and the booking service fee are separate. Choosing a billing interval does not approve a plan change or alter an existing invoice. Subscription payment does not establish ownership of a brand, verify an athlete, authorize a deal or permit access to unrelated athlete records.
Required booking agreement
Each order must identify the parties and authorized signers, athlete and any approved representative, service or campaign purpose, deliverables, quantity, dates and time zone, work and publication locations, currency, service amount, fee and taxes, content review and revision limits, usage channels, license duration and territory, advertising disclosures, school marks or facilities, cancellation terms and required approvals. Cash and non-cash benefits, exclusivity, collective or school connections, and proposed paid advertising must be disclosed. Changes to scope, price, dates, usage or parties require a recorded amendment and renewed approvals before additional work.
Confirmation and conduct
ScoutSync first screens the proposed transaction. An eligible request may be funded through Stripe before the athlete accepts where the enabled flow requires it. Funding reserves money for the request; it is not confirmation or permission to begin work. Work begins only when the athlete has accepted the written scope, all required eligibility and other approvals are complete, payment is confirmed and ScoutSync marks the booking confirmed. The athlete may decline. Brands cannot demand enrollment, a transfer, playing time, athletic results, false endorsements or off-platform side payments. ScoutSync may suspend a request for safety, fraud, rule conflicts or missing information, with notice and review where practicable.
Physical activities and in person safety
Appearances, camps, lessons, training and other physical services need an appropriate venue, qualified responsible adults, required permissions, accessibility and a safety plan. ScoutSync may require proof of insurance and additional written terms. No dangerous stunt, unsafe training, unapproved medical service or private adult-to-minor meeting may be arranged through an NIL booking. A promotional-services label does not remove employment, child-safety, venue or professional-licensing obligations.
Legal effect and support
The checkout agreement must identify the ScoutSync contracting entity and the athlete or service provider. ScoutSync's contractual role and the Stripe merchant of record must be consistent with the actual transaction. Platform screening does not replace the parties' legal, school, tax or immigration responsibilities. Nothing in these terms excludes mandatory consumer rights, lawful chargeback rights, non-waivable liability or obligations that ScoutSync has under applicable law. Requests for assistance, cancellation or a dispute may be sent to support@scoutsync.com.
Agreement records and changes
Before a live booking is accepted, each required signer must receive the applicable policy version and complete a separate recorded acceptance of the order and required consents. An optional marketing consent cannot be a condition of booking. ScoutSync retains an accessible copy of the agreement and material amendments. New policies apply prospectively according to their notice and effective date; they do not silently reprice an order or expand an existing content license. Draft policies do not create a booking agreement.
Responsibility suspension and review
Brands are responsible for their campaign claims, supplied materials, authority, approved uses and venue obligations. Athletes are responsible for truthful eligibility information, required disclosures and the agreed work. ScoutSync remains responsible for the duties it undertakes and any duties imposed by law. A suspension or termination does not automatically forfeit earned compensation, authorize unrelated use of content or cancel a lawful refund. ScoutSync provides a case reference and a route to request human review where practicable, with immediate protective action available for urgent safety or legal concerns. Any limitation of liability, indemnity, governing law or dispute forum must be set out in the final applicable agreement and reviewed for the actual parties and jurisdiction.
Student Athlete Eligibility and Safeguarding
Last updated: Draft 2026-10-21. Effective date pending.
Draft status
DRAFT — LEGAL REVIEW REQUIRED. Version 2026-10-21. Effective date pending. This document is a draft for legal review and implementation validation. It is not a legally approved policy, is not yet in effect, and no acceptance of these draft terms is requested or collected.
Eligibility is specific to each athlete and deal
A booking must be permitted by the applicable law and the athlete's actual school, association, conference, league, federation and contract rules. ScoutSync evaluates the athlete's school level and governing body, school and residence jurisdictions, location of the work, age and legal capacity, and the specific campaign. An athlete aged 18 or older can still be governed by high school rules. An unknown, conflicting, expired or unverified rule requires human review; it is not permission. Lawful stricter ScoutSync safety standards may also apply. Conflicting legal duties must be referred for legal review rather than resolved by a generic checkbox.
High school athletes and all state jurisdictions
US high school review covers all 50 states and Washington, D.C., with the actual governing association identified, including relevant private-school or independent associations. College NIL permission does not establish high school permission. Before approving a booking, check applicable amateurism and personal branding rules, prohibited products, school affiliation, uniforms, logos, facilities and equipment, school time and team obligations, inducements, agent involvement, contract duration, notice deadlines and school approval requirements. A school or guardian signature does not override an association prohibition. Overseas secondary-school athletes require their own national, local, school and federation review; US state rules do not grant overseas eligibility.
College athletes
College review distinguishes NCAA Divisions I, II and III, NAIA, NJCAA and its applicable region, 3C2A, NWAC and other governing bodies. NCAA Division I reporting and clearinghouse requirements must not be copied automatically to every college. Where applicable, the athlete must submit the required NIL Go report, obtain the required external clearance and provide evidence of status. Relevant school policies, state rules, contractual conflicts and intellectual-property permissions remain separate checks. ScoutSync records external submission and clearance evidence but does not claim to submit to NIL Go or certify eligibility unless an authorized working integration actually provides that service.
Genuine services and recruiting protections
A permitted promotion must describe a real product, service, event or other legitimate business activity and real deliverables, with reasonable documented compensation. ScoutSync prohibits sham services, disguised payments for athletic participation or achievement, and bookings conditioned on attendance, continued enrollment or transfer to a particular school. Lawful pre-enrollment or transfer-related NIL discussions are not automatically misconduct; they require review under the current applicable rules. School employees, boosters, associated entities, collectives and athlete representatives must disclose their connections and cannot use ScoutSync to evade a restriction.
Minors and guardians
The current NIL marketplace does not permit bookings by athletes under 18. This restriction remains until ScoutSync has approved and activated a jurisdiction-specific minors process. A future minors process must verify age, legal guardianship and authority; obtain the athlete's assent and required guardian agreement; assess contract capacity, court approval, employment or entertainment permits, trust or protected-earnings requirements, school rules and permitted Stripe recipient arrangements. Parent consent alone may not be sufficient. A guardian does not become owner of the child's earnings merely by approving a booking. No automatic redirect of child earnings to an adult's account is permitted.
Child privacy and safe communications
Under-13 account privacy and consent are a separate issue from a minor's capacity to enter a paid contract. Existing child account restrictions remain; an approval code alone is not verifiable parental consent. No unapproved adult-to-minor messaging, private meetings, transport or direct solicitation is allowed. Any future approved minor transaction uses monitored platform channels with the required guardian participation, verified adults and a documented safety plan. Do not publish a child's precise location, date of birth, private contact details, school records or immigration information. Report coercion, exploitation or unsafe contact immediately through ScoutSync support.
Verification records and retention
Eligibility and safety evidence is collected for a defined purpose and restricted to reviewers who need it. Use approved secure channels for identity, guardianship, school, immigration and tax records. Public profiles and brand-facing status screens must not expose private evidence. ScoutSync must maintain a documented retention schedule consistent with legal, payment-dispute and child-privacy obligations, and delete or restrict records when no longer needed. Privacy requests and required preservation of an active dispute are handled through the privacy process; no unlimited retention is created by a booking.
International Athlete and Cross Border Policy
Last updated: Draft 2026-10-21. Effective date pending.
Draft status
DRAFT — LEGAL REVIEW REQUIRED. Version 2026-10-21. Effective date pending. This document is a draft for legal review and implementation validation. It is not a legally approved policy, is not yet in effect, and no acceptance of these draft terms is requested or collected.
Separate eligibility and authorization checks
Nationality, residence, the country where work is physically performed, immigration status, tax treatment, school rules and payment availability are separate facts. A non-US athlete is not automatically ineligible, and a US bank account or verified Stripe account is not evidence of work authorization. ScoutSync needs only the minimum information required to assess a transaction, with sensitive documents restricted to authorized reviewers.
Students in the United States
An athlete in F-1, M-1, J-1 or another status restricting work must complete a transaction-specific review before accepting, performing or receiving compensation from a restricted activity. As applicable, the review involves the designated school official or responsible program officer and qualified immigration counsel, with any required government authorization obtained before work begins. School permission or an athletic association's NIL rules do not create immigration work permission. Do not assume social posts, appearances, autograph signings, camps, licensing, passive-income labels, deferred payments, a foreign payer, overseas signatures or a foreign bank account make an activity permissible.
Athletes outside the United States
Bookings performed outside the United States require review of the relevant country's commercial, advertising, labor, minor-contract, privacy, tax and sports rules, alongside the athlete's school and federation requirements. Moving the location of signing or payment does not by itself resolve those obligations. Where the country or transaction has not been cleared, ScoutSync may allow education and a private inquiry while disabling paid performance and payouts. No universal list of countries is treated as legally approved.
Payments and taxes
Stripe account and recipient availability, permitted cross-border transfers, currency, sanctions and payment restrictions must be confirmed for the actual platform and recipient accounts. No proxy or borrowed payout account may be used to avoid a restriction. Required tax documents and withholding must be assessed by qualified tax reviewers and handled through secure approved channels; do not place tax identifiers in public profiles, chat or policy acknowledgments. Non-cash NIL benefits can also create tax obligations. A payment service's identity checks do not replace tax, school or immigration review.
Mandatory local rights
A business purchasing a commercial promotion is not automatically a consumer. Where consumer law applies, required pre-contract information, cancellation or withdrawal rights, early-service requests and any lawful exceptions must be assessed for the actual customer, country and service. A generic non-refundable label or checkbox cannot waive mandatory rights. ScoutSync will not open a country or service route until the required contract, privacy, tax and payment procedures are supported.
NIL Payments, Cancellations, Refunds and Release

DRAFT — LEGAL REVIEW REQUIRED. Version 2026-10-21. Effective date pending. This document is a draft for legal review and implementation validation. It is not a legally approved policy, is not yet in effect, and no acceptance of these draft terms is requested or collected.
Stripe payment processing
When an approved NIL payment flow is activated, NIL marketplace payments will be processed through Stripe. This draft does not activate that flow. Card details are collected by Stripe; ScoutSync stores payment references and the transaction information needed to administer the booking. Only the methods displayed in the approved checkout apply; standalone PayPal or TWINT integrations are not promised. See the Payments And Billing Policy, Stripe Legal Center (opens in a new tab) and Stripe Privacy Policy (opens in a new tab). Buyers using Link should review Link Consumer Terms (opens in a new tab). Providers must accept the onboarding agreement for their actual account configuration and country: recipient terms (opens in a new tab) only where a recipient arrangement applies, or full connected-account terms (opens in a new tab) and the Stripe Services Agreement (opens in a new tab) where a full account agreement applies. These business/provider agreements do not automatically bind all buyers. Review Stripe Prohibited And Restricted Businesses (opens in a new tab); any required processor business approval is a separate launch gate. Successful browser redirects or screenshots are not payment confirmation. The server confirms the correct amount, currency, booking and payment state using signed payment events.
Funds pending completion
A funded payment is held within the enabled Stripe marketplace payment flow pending the applicable booking conditions and release decision. This is not a promise of regulated escrow, a trust account, deposit insurance or indefinite safekeeping. Holding and payout timing depend on the relevant Stripe account, country, payment method, restrictions and applicable law. Long campaigns or unusual payment timing require a separately reviewed arrangement before money is collected.
Athlete service amount and release
The full agreed athlete service amount is allocated to the athlete, subject to legally required withholding shown separately. The brand's ScoutSync fee is separate. Release requires verified receipt of funds, required school or other clearance, a valid approved recipient account, evidence of the agreed work, and no unresolved safety, compliance, fraud or payment hold. Marking work completed does not by itself require or authorize immediate release. The order must show the delivery review process and any release timetable that the actual system supports. Stripe bank payout timing is separate from ScoutSync's transfer decision.
Declined, expired or unapproved requests
If an athlete declines, a funded request expires before acceptance, or required eligibility clearance is not obtained before work starts, ScoutSync initiates a full refund of the amount collected for that booking, including the booking service fee and any refundable tax. Work must not begin while the request is unapproved. Any request acceptance deadline must be shown before payment; there is no undisclosed forfeiture. Subscription charges are governed separately by the subscription agreement and mandatory law.
Cancellation, rescheduling and nonperformance
A brand cancelling before work starts may request a full booking refund. Athlete cancellation or failure to provide the agreed service results in a refund or a mutually agreed reschedule. After work starts, an issue requires documented review of the accepted scope, delivered work, consumer rights and any proposed resolution; fees are not automatically forfeited. A change in scope or partial settlement requires the parties' recorded agreement and supported financial controls. The initial automated NIL refund flow supports full refunds only. A requirement for another remedy must be escalated to authorized finance and legal reviewers; software limitations do not remove a legal refund obligation.
Disputes and refunds
Report a delivery or payment problem promptly to support@scoutsync.com with the booking reference and relevant evidence. A reasonable review deadline shown on an order does not remove statutory claims or cardholder rights. ScoutSync may pause release while assessing the dispute and request responses from each party. Refund initiation, a pending processor refund and a successful completed refund are different states. Reversing an athlete transfer is also separate from refunding the brand. A legally required customer refund must not be made conditional on successful recovery from an athlete. Refunds normally go to the original payment method, with timing determined by Stripe and the financial institution.
Chargebacks and financial records
ScoutSync and the parties must preserve the booking, approvals, payment confirmation, deliverables, communications and refund or transfer records needed for a dispute. There is no duplicate recovery through a chargeback and a refund. Authorized finance staff manage holds, supported refunds and transfer retries; brands, athletes, coaches and ordinary organization admins cannot release funds or set refund amounts. ScoutSync may correct an error through a documented process, subject to applicable law and the accepted agreement. Costs and any recovery rights must be lawful and disclosed, not imposed by an unannounced penalty.

Permitted campaigns and restricted categories
ScoutSync requires genuine, lawful and age-appropriate campaigns. As a ScoutSync marketplace safety standard, campaigns for gambling or sports wagering, alcohol, tobacco or vaping, cannabis or illegal drugs, prohibited performance-enhancing substances, adult sexual services, weapons, scams, deceptive health claims or unlawful activities are not accepted for student-athlete bookings. Other regulated products or financial promotions require prior legal review and may be declined. These platform standards do not mean every jurisdiction has the same statutory prohibitions. Applicable school and association restrictions may add further limits.
Advertising disclosures and honest endorsements
Brands and athletes must clearly disclose paid and other material relationships, including free products or benefits, in the endorsement itself in language the audience understands. For video and live content, use disclosures appropriate to that format; a profile-only notice or platform label may be insufficient. An athlete must not claim to use a product they have not tried, make a false statement, or repeat unsupported performance, financial or health claims. Brands must provide substantiation and compliant instructions and must not require the athlete to hide the sponsorship.
Athlete rights and permitted uses
The athlete retains their personal rights and ownership of content except for the specific rights lawfully agreed in writing. The booking must define the authorized image, name, voice, content, channels, paid media permissions, territory, term, exclusivity, approval and permitted edits. No unlimited perpetual license, unrelated reuse, sublicensing, AI training, voice cloning or synthetic endorsement is implied by payment or platform membership. Separate express permission and legal review are required for any such additional use. Uses involving a minor require the additional valid approvals and protections applicable to that minor.
School and third party property
Payment for an athlete's NIL does not license a school's name, uniform, logo, facilities, game footage, music, photographs or another person's image. Obtain the relevant permission and confirm that the athlete's association allows the proposed use. For some high school associations, school identifiers or school-facilitated deals are prohibited even when a school is willing to cooperate. For other bodies such as NAIA, institutional references may be permitted subject to school restrictions. Upload only material for which all necessary rights and consents are held.
Complaints and removal
ScoutSync may restrict disputed, unsafe, unlawful or unauthorized content while investigating and may request proof of rights or consent. Report privacy, misuse, impersonation, coercion, prohibited contact or intellectual-property concerns to support@scoutsync.com; privacy requests may be sent to privacy@scoutsync.com. The applicable intellectual-property and privacy complaint processes remain available. Do not publicly expose an athlete's private documents to support a complaint.
