Beyond standard physicals, states are implementing rigorous specific health screenings.

Florida example: Starting July 1, 2026, Florida will mandate a cleared electrocardiogram (ECG) screening for all incoming 9th graders and new transfer student-athletes.

Parents now sign extensive legal disclosures depending on the state, including:

• Sudden Cardiac Arrest acknowledgment documenting awareness of risks and warning signs
• Opioid Use Fact Sheet for athletes prescribed pain medication after injury
• Concussion and Return-to-Play protocols with strict, staged return requirements
• Heat illness and hydration acknowledgments in southern and high-altitude states
• Mental health awareness disclosures in a growing number of states

These are not optional. A missing signature can hold up clearance and prevent participation.

• Confirm your clearance platform is HIPAA and FERPA aligned, with role-based access
• Map every required form to a digital workflow with a complete audit trail
• Set automated reminders for parent signatures, physical expirations, and required screenings
• Train coaches to never store medical information outside the system
• Build a roster lock that prevents practice participation until clearance is fully complete
• Coordinate with your athletic trainer on the return-to-play workflow for concussions and cardiac events

• A digital onboarding link rather than a paper packet
• Multiple separate signatures, not a single all-in-one waiver
• A required upload of the most recent physical
